# Important housekeeping tasks

To help you fully optimize your affiliate program we have outlined the most important tasks you need to perform to keep your account running smoothly.

| Check transaction levels | - View the [monthly Publisher Performance report](https://ui.awin.com/go/advertiser?r=/merchant/{id}/report/affiliate-performance/index/network/awin/dateRange/lastMonth) along with the [Performance Over Time report](https://ui.awin.com/go/advertiser?r=/merchant/{id}/report/performance-over-time/index/network/awin/dateRange/lastMonth) to see if there's any significant drop in transactions. If so, this may indicate a tracking issue which will require you to run a [test transaction](https://ui.awin.com/go/advertiser?r=/advertiser-integration-tool/trackingwizard/en/awin/merchant/{id}) to investigate further. | Daily |
| Process all partners applications (applicable only if you have automated partner approvals disabled) | - Review [pending partners](https://ui.awin.com/go/advertiser?r=/awin/merchant/{id}/affiliate-approval), and approve or decline their applications. If their primary URL appears irrelevant, they may intend to promote you through other websites. - If you don’t want to approve a partner, please provide a reason. | Daily / weekly |
| Validate pending transactions and transaction queries | - Frequent validation enables faster return on investment for partners, encouraging them to work more closely with you. - Review [pending transactions](https://ui.awin.com/go/advertiser?r=/awin/merchant/{id}/validate-pending/network/awin) and approve or decline transactions. - Check for any [Transaction Queries](https://ui.awin.com/go/advertiser?r=/awin/merchant/{id}/transaction-query) submissions from either cashback or loyalty partners whose members’ transactions may have not tracked or have tracked as incorrect. - If you have a high volume of transactions, [batch validation](/advertisers/docs/validating-transactions#batch-validating-pending-transactions) is recommended. | Weekly |
| Maintain a healthy product feed (applicable if you have a product feed) | - Check that you are always passing correct prices in your feed. - Ensure that new products are correctly mapped. - If your product information changes frequently, then an automated data feed upload method should be implemented with the network. | Weekly |
| Engage in regular partner communication | - Inform partners about your best selling products, offers and discounts. - Keep them up to date with any changes to your program and offer incentives where possible. - Discounts and commission increases can help to increase exposure and should be communicated. - The best method of communication is the [Communication Center](https://ui.awin.com/go/advertiser?r=/communication-centre/en/awin/advertiser/{id}/communications). - Speak with your top 5-10 partners regularly. | Weekly / monthly |
| Develop your partner relationships | - Speak with your partners regarding targets, bonuses or private commissions (if applicable). - For your top performing partners we advise adopting a direct line of communication via email or telephone. | Ongoing |
| Manage and upload any new creatives | - Ensure that any new banner creative is available for partners within the [My Creative](https://ui.awin.comgo/advertiser?r=/awin/merchant/{id}/my-creative) tool. - Never delete banners, but update them with new ones. | As required |
| Website URL or domain changes | - Please advise us if there are any technical changes to your site as soon as possible so we can ensure this doesn’t affect tracking. | As required |
| Discount codes and seasonal promotions | - Upload generic discount codes as often as necessary in your account through the [My Offers](https://ui.awin.com/go/advertiser?r=/awin/merchant/{id}/promotion) tool. - Supply bespoke codes for specific partners and enable Voucher Attribution through the My Offers tool. | As required |
| Update your profile with any new contact details | - Please update any new contact details for your program to ensure partners have the correct contact details to speak to a member of the team. - You need to contact us for any updates to invoice/finance contact details. If you have a dedicated Awin contact, please reach out to them.
