We recommend you actively communicate with your partner base on a regular basis, keeping them informed of upcoming offers and promotions, as well as important updates to your program, such as commission changes or updates to terms and conditions.
How to contact partners
You can use the following methods to communicate with partners on your program:
Communication Center tool in the Awin platform: It can be found in Toolbox > Communication Center. It allows you to send text or HTML emails to your partners, and you can either select specific partners to include or send to all.

Sending a direct email to the partner: Their contact details can be found on the publisher profile once they are joined to your affiliate program.
Benefits of regular communication
Updating partners on key issues is crucial to the success of your program. When partners are informed about upcoming offers for them to promote, or changes in how they can work with you, they are able to better drive traffic and ultimately conversions to your program.
We recommend that you communicate at least once monthly and no more than two to three times per week. Any changes in your terms and conditions such as commission changes, technical set up updates and promotional restrictions must be communicated to your partner base with suitable notice periods.
Communicating with top partners
We recommend that you communicate regularly with your top partners who you can identify through the Publisher Performance report (Reports > Performance > Publisher). It’s crucial to get to know who they are. Consider communicating with them via email and calls, where relevant, to keep them updated on promotions and updates to further build the relationship.
Setting up a welcome email
Our platform allows you to set up an automatic welcome email to be sent to every partner when they join your program.
Navigate to Account > Partnership Settings where you can see an example email. Personalize the subject line and the body text, and make use of the variable tags:
!!!name!!!- Partner’s name!!!id!!!- Publisher ID!!!advertiser!!!- Your program name
For example, if you use !!!name!!! in the email, the partner’s name will automatically appear.
Important
If you leave both the subject and body empty, a default email will be sent.
If you set up the welcome email after a partner has already joined, they won’t receive it retrospectively.
What to include in your welcome email
The welcome email introduces your program to new partners and helps them get started. Here’s what partners typically want to know:
What you sell: Briefly describe your products and how they benefit customers.
Target audience: Include relevant demographics, such as age, gender and interests.
Delivery region: Specify your delivery area. For example, note if your program only delivers within the UK.
Commission rates: You may include commission information, though it’s optional for a general welcome email.
